Before you start

Before your first day with The University of Kansas Health System, there are several tasks for you to complete for a smooth onboarding experience. These will be communicated to you via the email address used on your application. Please check your email regularly over the next few weeks. Also be sure to check your spam folder as emails from a new contact may inadvertently be moved to spam.

Preboarding/postoffer health visit

We are committed to providing and conserving a safe and healthy environment for our employees, those we care for and our communities. That is why safety and health protection measures begin during our preboarding (postoffer) process. Please review and complete the following resources before your orientation date.

Workday credentials and onboarding

Workday is the health system’s resource planning tool for Human Resources, Payroll and more. Once you have completed and cleared your pre-employment drug screening and background check, you will need to log in to Workday and complete additional onboarding tasks (set up direct deposit, choose tax elections, etc.).

A link to sign into Workday, your permanent network username and a temporary Workday password will be sent to your personal email address in two separate emails for enhanced security.

Follow the detailed instructions in these emails to sign into Workday.

When you have new onboarding tasks to complete, you will see them in your “My Tasks” inbox. Some tasks will not be available until you’ve completed an earlier task.

On your first day, you will begin using your permanent health system network account credentials/network username to log into Workday.

Note: If you are unable to log in to Workday, no worries! When you attend Day 1 of New Employee Orientation, you can talk to our technology experts who can help you troubleshoot and ensure you get connected. There are no tasks that must be completed before orientation.

Activate health system account

Within three to five business days before your start date, new employees will receive their health system account information via two secure email messages to your personal email from NewHireNotifications@kumc.edu. This account information will include your network credentials, employee ID and health system email, which you’ll use to access all the tools you’ll need. You will need to follow these instructions and create a permanent password, even if you previously reset your password when signing into Workday.

You will use this newly created password beginning on your first day of work/orientation to log in to Workday and other systems.

Do you have a prior affiliation with The University of Kansas or The University of Kansas Health System?

As a current or former employee, contractor, university student or university employee, your health system account information remains the same and you will not receive a secure email. To log into Workday, you will use the same email and password you previously used for work or as a University of Kansas student. If you do not know your work or student email or password, contact the service desk at 913-945-9999, option 1.

Install and register for Duo Mobile

You will use your network username and password to access most health system computer systems. Some applications require additional security through multi-factor authentication (MFA). The health system uses the Duo Mobile smartphone app to verify your identity when logging in to secured systems (like receiving a text message when logging into your bank).

When you receive instructions to activate your health system network account, you will also receive detailed instructions to set up Duo, including this helpful tip sheet. You can download Duo via your device’s App Store or Google Play.

Employees are required to set up Duo. After your start date, you will not be able to log in to Workday or other applications without it.
