Day 1: Orientation

We want your career here to begin successfully. All new employees attend new employee orientation their first day as a member of The University of Kansas Health System team. On their second day, they attend customer service training.

When your prehire requirements are complete, your Talent Acquisition coordinator will let you know the date to attend orientation and customer service training.

Itinerary

Orientation is held on the health system’s 39th and Rainbow campus. Look for an email two to three business days before your start date from Onboarding@kumc.edu with details about your two-day orientation experience including location, time, etc.

For orientation, you will park in the P5 garage at 3724 Cambridge St., Kansas City, KS, 66160. For orientation and customer service training, your parking will be validated, and you will not need to pay. Free shuttle service is provided from the P5 parking garage and runs continuously on a 10-minute loop from 7:15 a.m. to 9 a.m. To ensure you are on time for orientation, please allow 10 minutes to wait for the shuttle and 10 minutes for the drive in the shuttle.

The health system campus is secure, and our team will let you into the appropriate building for your first day of orientation. After the first day, you will need your badge to access buildings.

Doors open (staff will assist): 8 a.m.

Check-in: 8-8:50 a.m.

Day 1 of orientation begins promptly at 9 a.m. and lasts until 4:30 p.m.

Meals

Light breakfast items will be available in the morning and lunch will be provided in the afternoon for Day 1 of orientation.

If you need special meal considerations (dairy- or gluten-free, vegan, etc.), please submit a Dietary Restrictions form at least 24 hours in advance to notify a staff member.

What to wear and bring

During new employee orientation and customer service training, we ask that you wear business casual attire. Examples include:

  • Dress/polo shirt, blouse, sweater, casual blazer or cardigan. Training rooms can vary in temperature, so you may want to bring a sweater or jacket.
  • Slacks, khakis, cotton pants/capris or nonripped dark jeans.
  • Skirt or dress, mid-thigh or longer.
  • You will move around frequently and might walk around campus on your first day. You may prefer to bring tennis shoes to change into or wear comfortable business casual shoes fit for walking – flats, loafers, low heels or dress sandals.

You may also want to bring something to take notes in such as a notebook, notepad, phone, tablet or laptop. Many employees find it helpful to bring an electronic device to become familiar with health system digital tools and portals.

Please bring a mask if you feel more comfortable wearing one (they are not required).

What to expect

Prompt start times

Be timely. Our new employee orientation sessions contain a lot of information within a short amount of time, so we start promptly at the designated times. Remember to give yourself plenty of time to arrive at orientation and complete the check-in process.

ID badge photos

You will have your photo taken for your health system ID badge at check-in on Day 1 and receive your badge later that day.

I-9 documentation

The I-9 Employment Eligibility Verification Form must be completed within the first 3 days of hire. On your first day on site, please bring identification as proof of your eligibility to work in the United States. You may bring a passport or two other forms of identification as proof of your eligibility to work in the United States. The documents you bring must not have expired and must be original – no photocopies are permitted. You must also complete section 1 of the I-9 form within Workday. Acceptable documents list.

Learning about your benefits

On Day 1 of orientation, you will receive an overview of benefits available to you. If you are in a benefits-eligible position, you will be contacted within your first week on the job to arrange a 1-on-1 meeting with a benefits specialist. The benefits specialist will explain your options and answer your questions. You have 30 days from the date of hire to sign up for benefits.

Technical support

Experts will be available at orientation to help troubleshoot any issues and ensure you get connected to important systems, including Workday.

Event accommodations

We strive to host an inclusive, accessible orientation event that enables all individuals, including individuals with disabilities, to engage fully. Please submit an Event Accommodations Request form to request any needed accommodations, including parking, or to ask about accessibility.

Additionally, to be respectful of those with allergies and environmental sensitivities, we ask that all attendees refrain from wearing strong fragrances.

COVID-19 safety precautions

We are committed to the safety and well-being of our staff and have implemented measures to safely conduct orientation in person.

New employees will be able to physically distance, and masking is highly suggested. It is important that you stay home if you are feeling sick or have COVID-19 symptoms. We are looking forward to your starting and will seek to accommodate you if you are unwell and cannot come on site for orientation. Please reach out to your recruiter for questions or concerns.
